Overview Dashboard
The overview dashboard gives you an organization-wide view of form activity, response trends, approvals, and workflow health.
Accessing the overview
Section titled “Accessing the overview”Click Overview in the sidebar. Formspace opens the Forms list by default after sign-in, so use Overview whenever you want the organization-wide activity summary.

Get started
Section titled “Get started”A new Formspace’s overview opens with a Get your first response checklist, which also tops the Forms page once you’ve created a form:
- Create a form — from a template, by describing it to the AI Assistant, or from scratch.
- Publish and share it — publish from the form’s Publish tab to get a link to share.
- Receive your first response — share the link, or open it yourself and send a test response.
Formspace ticks steps off as you complete them, and each open step names the form it applies to and links to where you do it. Once a form is live, the checklist adds one-click ways to share it: Copy link, QR code, and Embed or add to Teams. The checklist disappears once your Formspace receives its first response. You can also dismiss it with the close button, which hides it on both pages; that choice is remembered in your browser for each Formspace.
Workflow overview
Section titled “Workflow overview”Once your Formspace has received responses but none of its forms has a published workflow, the overview shows a short Set up an approval workflow prompt below the metric cards instead. Its Set up a workflow button lists your most recently edited forms: pick one to open its Workflows tab, or choose All forms. If you don’t need workflows, dismiss the prompt with its close button; that choice is remembered in your browser for each Formspace. Once a workflow is published, or has runs or approvals, the full workflow overview appears at the top of the page.
The workflow overview highlights work that may need attention and the health of the latest workflow run for each response:
- Your approvals — responses with a pending approval assigned to you. Click it to open the My approvals preset on the Responses page.
- Waiting for approval — latest workflow runs across the organization that are waiting for an approval decision.
- Workflow errors — latest workflow runs with an error, including runs still waiting for approval. Click it to review the affected responses.
- Finished in 30 days — latest workflow runs approved, rejected, or completed during the previous 30 days.
Formspace metrics
Section titled “Formspace metrics”Three summary cards show your key Formspace metrics at a glance.
Shows the total number of forms in your Formspace. Click the card to jump to the forms list where you can create, edit, and manage your forms.
Responses
Section titled “Responses”Shows the number of submitted responses received during the previous 30 days, its change from the preceding 30-day period, and the all-time submitted response total. Click the card to open the Responses page, where you can search, filter, and open response details across your Formspace.
Published workflows
Section titled “Published workflows”Shows how many forms currently have a published workflow. Click the card to open the forms list.
Response activity
Section titled “Response activity”The response activity chart plots daily submitted response totals. It opens with the previous 30 days selected; use the 30d and 90d controls to change the displayed range.
- Hover over any point to see the exact date and response count.
- The header shows the total and daily average for the selected range, plus the last seven days on larger screens.
- The chart automatically scales to fit your response volume.
Recent activity
Section titled “Recent activity”Lists up to ten of the most recent submissions and workflow outcomes across your forms in a scrollable four-row view. Workflow activity includes approval decisions, undone decisions, and failed workflow steps. Click an entry to open that response in the Responses page.
Top forms
Section titled “Top forms”Displays your five most popular forms ranked by total response count. Each entry shows:
- The form’s rank and title.
- The total number of responses.
- Its percentage of all submitted responses, with a relative bar for comparison.
Click any form in the list to open it directly in the builder on the Submissions tab, where you can review the responses in detail.
If none of your forms have received responses yet, this card shows a “No responses yet” placeholder.
Overview data can be delayed by up to one minute.
Using the overview effectively
Section titled “Using the overview effectively”The overview is intentionally simple — it answers the questions you’re most likely to ask when you open the dashboard:
- What needs my review? Check Your approvals.
- Are workflows blocked or failing? Check Waiting for approval and Workflow errors.
- How many forms and published workflows do I have? Check the Formspace metric cards.
- How is response volume changing? Check the Responses card and response activity chart.
- What happened most recently? Check Recent activity.
- Which forms are getting the most traction? Check the Top Forms card.
For deeper analysis, use the Responses page to search across forms, or navigate to individual forms and their submissions tables for form-specific filtering, saved views, and exports.
